• Payment information: billing details processed securely through Stripe (we do not store credit card numbers on our servers)
• Notes and preferences: any notes you share with our staff, coach preferences, and photo release preferences
• Usage data: information about how you interact with our website and parent portal

We use the information we collect to:

• Manage your enrollment, billing, and class scheduling
• Communicate with you about classes, schedule changes, and account updates
• Place your swimmer with appropriate coaches and class levels
• Ensure the safety of your swimmer during classes
• Contact additional family members or caregivers you designate on your account

3. Information Sharing

• Stripe: our payment processor, to securely handle billing and transactions
• Gallaudet University: as required by our facility usage agreement, limited to safety-related information
• OCSS coaching staff: swimmer names, levels, parent notes, and relevant medical or safety information necessary for instruction
• Legal compliance: when required by law, subpoena, or to protect the safety of our swimmers and staff

4. Data Security

We take reasonable measures to protect your personal information. Payment processing is handled by Stripe, which is PCI-DSS compliant. Our platform uses encrypted connections (HTTPS) and secure authentication. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.

5. Cookies & Tracking

Our website and parent portal use essential cookies to maintain your login session and provide core functionality. We do not use third-party advertising trackers. Analytics data, if collected, is used solely to improve our services and is not shared with third parties.

6. Photos & Videos

If you grant photo and video consent (which can be updated at any time through your parent portal), photos and videos of your swimmer may be used on our website, social media, and promotional materials. No identifying information is attached to photos without additional written consent.

7. Your Rights

You have the right to:

• Access the personal information we hold about you and your swimmer
• Correct or update your information through the parent portal or by contacting us
• Request deletion of your data (subject to legal retention requirements)
• Withdraw photo/video consent at any time through the parent portal
• Opt out of non-essential email communications

8. Data Retention

We retain your information for as long as your child is enrolled and for a reasonable period afterward for record-keeping and legal purposes. Payment records are retained as required by applicable tax and financial regulations.

9. Children's Privacy

OCSS services are directed toward families with children. We collect swimmer information (name, age, skill level) solely for the purpose of providing swim instruction. We do not knowingly collect information directly from children. All information is provided by parents or guardians.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email. Continued use of our services after changes are posted constitutes acceptance of the updated policy.
